How integrations work

Connect StickyPrompts to the email service, CRM and databases your team already uses, so chats, agents and workflows can look things up and act on them.

An integration is a connection from StickyPrompts to one of your own systems: the account you send email from, your CRM, or a database. Once it is connected, you can ask for work that spans those systems in plain language - “find the deals at Proposal Made and email me a summary” - and the AI does the lookups and the sending for you.

Workspace and personal connections

Every connection belongs to one of two places, and the choice decides who can use it.

The Integrations page shows both: the Workspace section at the top, grouped by category, and your Personal section below it. Each card shows the connection’s name, the provider, a short description and a Connected badge. Database connections also show their permission level, such as Read only.

Add a connection

  1. Open Integrations and choose Add connection

    Go to Integrations (app.stickyprompts.com/integrations) and select Add connection.

  2. Choose Workspace or Personal

    At the top of the Add a connection dialog, pick Workspace to share the connection with everyone, or Personal to keep it for yourself. Only workspace owners and admins can add workspace connections.

  3. Pick the provider

    Filter by All, Email Sending, CRM or Databases & BI, or type in the search box. A card marked Already connected means that connection already exists.

  4. Fill in the details and save

    Give the connection a clear name and description - “Northwind Retail DB” with “orders, customers and products” is far easier to recognise than “DB1”, for your colleagues and for the AI. Then enter the credentials for that provider. StickyPrompts checks them against the provider before it saves, so a saved connection is one that has already worked once.

How the AI uses a connection

You never pick an integration from a menu. You describe the job, and the model calls the tools it needs: list your connections, look at the database tables, search the CRM, send the email. Each call shows up in the reply as an expandable actions line, so you can check exactly what happened.

Connections work the same way everywhere:

  • Chat - ask in any conversation. See Using integrations from chat.
  • Agents - an agent can use connected integrations as part of its job, for example a sales assistant that looks up an account before drafting a follow-up. See Agents.
  • Workflows - scheduled workflows can use connected integrations, so “every Monday, email the sales team last week’s new deals” runs on its own. See Workflows.
  • API and MCP - your own code can use the same connections. See the Integrations API and the MCP tool reference.

Permission levels

Every connection that can change data starts safe and has to be opened up on purpose.

Grant the smallest level the job needs. Write access means the AI can change real records whenever someone asks it to.

Security

  • Read only by default. CRM and database connections cannot change anything until an admin allows it.
  • Least-privilege credentials. Create a dedicated user or API token just for StickyPrompts, with only the access it needs, so you can revoke it without touching anything else.
  • IP allowlisting. Database connections come from the StickyPrompts IP address 188.245.64.188. Allow that address in your firewall rather than opening the database to the internet.
  • SSH bridge. For a database on a private network, connect through an SSH jump host instead of exposing the database. See Databases.
  • Guardrails still apply. Workspace guardrails can scan the data your integrations return and the answers built from it, so a phone number from your CRM can come back as [phone].
