Users and teams

Invite people to the workspace, choose who is an admin, and organise members into teams with their own owners, model access and approved prompts.

A workspace is your whole company on StickyPrompts. Inside it, User Management controls who is in and who can administer, and Team Management groups people the way your company actually works - Marketing, Sales, Customer Support, Operations - so each group gets the models, prompts and oversight that fit it.

Roles

Keep the admin group small. Admins can change the rules for everyone.

Invite people

  1. Open User Management

    On the Workspace page, select User Management. Active Users lists everyone in the workspace with their name, email and role.

  2. Select Invite User

    Enter the email address of the person you want to invite and send the invitation.

  3. Track the invitation

    Until the person accepts, the invitation waits under Pending Invites with its Email, Invited at and Valid until date, plus Actions to manage it. Once accepted, they move to Active Users.

Want everyone at your company’s email domain to be able to join without an invitation? Set up domain-based joining in Workspace settings.

Each person you add takes a seat on your plan. General shows how many are in use, for example “1 of 10 spaces used”.

Make someone an admin, or remove them

In Active Users, tick Admin next to a person to give them admin rights; untick it to take them away. Use the delete icon at the end of the row to remove someone from the workspace. The search box helps in larger workspaces.

Teams

Teams group workspace members for easier collaboration and access management. The Team Management tab shows how many teams and members you have, and lists every team with its description, member count and the models it can use.

Create a team

  1. Select New team

    On Team Management, select New team.

  2. Name and describe it

    Use the name people already use, and a description that says what the team does, such as Sales - pipeline, proposals and renewals.

  3. Add members and set it up

    Open the team from the list to manage its members, budgets and approved prompts.

Team owners

A team can have an owner. The owner handles prompt approvals and budget control for their team, so admins do not have to. Teams without an owner are managed by workspace admins.

Give each team an owner who knows its work: the head of Sales for the Sales team, the support lead for Customer Support. It keeps decisions close to the people who understand them.

Teams and model access

The Models column shows which models each team can use - All by default. To give a provider’s models only to certain teams, use Specific teams in Model and provider access.

Export the list

Select Export CSV to download the teams list, for example for an access review.

The TEAM switcher

Everyone switches between Personal Chats and the teams they belong to with the TEAM switcher in the left sidebar. Pick the team you are working in before you start.

Every team also gets shared team chats: members talk to each other in one conversation and bring the AI in with @ai when they need it. See Team chats.
